Important Notice:These Terms & Conditions constitute a legally binding agreement between you (the traveler) and PTW Holidays Pvt. Ltd. By booking a tour package, you confirm that you have read, understood, and agree to these terms on behalf of yourself and all members of your travel party.
1. Booking & Confirmation
- •All bookings are subject to availability and are confirmed only upon receipt of the advance payment (minimum 25% of the total tour cost) and written confirmation from PTW Holidays Pvt. Ltd.
- •The booking is considered provisional until payment is received. PTW Holidays reserves the right to cancel a provisional booking if payment is not received within the stipulated time.
- •A booking confirmation voucher will be issued via email once the advance payment and required documents are received.
- •Prices quoted are per person unless stated otherwise and are subject to change without prior notice until the booking is confirmed.
2. Payment Terms
- •Advance Payment: A minimum of 25% of the total tour cost is required at the time of booking.
- •Full Payment: The remaining balance must be paid at least 30 days prior to the tour departure date.
- •For bookings made within 30 days of departure, 100% payment is required at the time of booking.
- •All payments should be made via bank transfer, UPI, or other approved payment methods as communicated by our team.
- •PTW Holidays is not responsible for any bank charges, exchange rate fluctuations, or transaction fees incurred during payment.
3. Cancellation Policy
- •Cancellations must be communicated in writing (email) to info@ptwholidays.com.
- •45+ days before departure: 10% of the tour cost will be deducted as processing fees.
- •30–44 days before departure: 25% of the tour cost will be deducted.
- •15–29 days before departure: 50% of the tour cost will be deducted.
- •7–14 days before departure: 75% of the tour cost will be deducted.
- •Less than 7 days or no-show: 100% of the tour cost will be forfeited.
- •Cancellation charges are subject to the policies of airlines, hotels, and other third-party suppliers, and may differ accordingly.
- •PTW Holidays reserves the right to cancel any tour due to insufficient participation, safety concerns, natural disasters, or force majeure events. In such cases, a full refund will be issued.
4. Inclusions & Exclusions
- •Each tour package clearly specifies what is included and excluded. Please review these carefully before booking.
- •Standard inclusions: accommodation on the basis mentioned, meals as specified (BB/HB/FB/AI), sightseeing as per itinerary, local transportation, and tour guide.
- •Standard exclusions: airfare (unless specified), personal expenses, travel insurance, tips & gratuities, visa fees, expenses due to illness/accidents, camera/entry fees, and any services not listed in the inclusions.
- •PTW Holidays is not responsible for any additional costs arising from changes in itinerary due to force majeure, weather, or circumstances beyond our control.
5. Itinerary Changes
- •PTW Holidays reserves the right to alter the tour itinerary, accommodation, or any other arrangements at any time due to operational requirements, force majeure, or traveler safety.
- •In the event of itinerary changes, PTW Holidays will endeavour to provide comparable alternatives at no additional cost.
- •No refund will be provided if a traveler voluntarily opts out of any included service or sightseeing.
- •We reserve the right to cancel, advance, or postpone departures when minimum passenger numbers are not met.
6. Travel Insurance
- •PTW Holidays strongly recommends that all travelers purchase comprehensive travel insurance covering medical emergencies, trip cancellation, loss of baggage, and personal liability.
- •PTW Holidays is not responsible for any loss, damage, or expense incurred due to the absence of travel insurance.
- •Travel insurance is not included in the tour package price unless explicitly stated.
7. Health, Safety & Conduct
- •Travelers are responsible for ensuring they are in adequate health to participate in the tour activities.
- •PTW Holidays reserves the right to exclude any traveler from participating in certain activities if it is deemed unsafe for them.
- •Any medical conditions, allergies, or special requirements must be disclosed at the time of booking.
- •PTW Holidays reserves the right to expel any traveler whose behaviour is deemed disruptive, offensive, or poses a risk to others. No refund will be provided in such cases.
- •Travelers are expected to respect local customs, traditions, and laws of the destination.
8. Liability & Responsibility
- •PTW Holidays acts as an agent for third-party suppliers (hotels, airlines, transport operators, etc.) and is not liable for any loss, injury, damage, or additional expense arising from these third-party services.
- •PTW Holidays is not responsible for any loss, theft, or damage to personal belongings during the tour.
- •Our maximum liability is limited to the total amount paid for the tour package.
- •PTW Holidays is not responsible for delays, accidents, injuries, or damages resulting from factors beyond our reasonable control, including natural disasters, civil unrest, pandemics, or government actions.
9. Visa & Documentation
- •It is the sole responsibility of the traveler to obtain the necessary visas, travel permits, and valid travel documents required for the tour.
- •PTW Holidays may assist with visa documentation but is not responsible if a visa application is denied.
- •Travelers must carry valid government-issued photo identification at all times during the tour.
10. Governing Law & Dispute Resolution
- •These Terms & Conditions are governed by the laws of India.
- •Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts in Shimla, Himachal Pradesh, India.
- •PTW Holidays encourages dispute resolution through mutual negotiation before resorting to legal proceedings.
11. Amendments to Terms
- •PTW Holidays reserves the right to modify these Terms & Conditions at any time without prior notice.
- •The most current version of these terms will always be available on our website.
- •Continued use of our services after any changes constitutes acceptance of the updated terms.
